The Executive Assistant will play a vital role within the organization by providing a range of diverse and highly confidential, executive level administrative duties to Support the Chief Executive Officer (CEO). This includes managing the day-to-day administrative and clerical activities, as well as, acting as liaison between the CEO, other departments, and external contacts.

Key Responsibilities:

  •  Provide extensive calendar management with an emphasis on proactive planning and scheduling

  • Organize meeting logistics including ensuring all preparations are complete
  • Record, transcribe and distribute minutes of meetings
  • Prepare reports, proposals, presentations and correspondence including proofreading
  • Attend to a variety of office administrative details such as establishing, organizing and maintaining confidential, subject files
  • Organize special events as needed
  • Coordinate travel arrangements and prepare detailed itineraries (including national and international travel)
  • Identify, research, and resolve problems and issues as required
  • Establish and maintain strong business relationships with all stake holders – employees, customers, suppliers, business associates, etc.
  • Communicate professionally and efficiently via phone, email, and in person with all stake holders. Maintain and organize a record of all communications
  • Manage expenses – enter and process expense reports in a timely manner
  • Provide assistance on ad hoc projects and requests as needed
  • Review operating practices and implement improvements where necessary

Qualifications/Requirements:

  • College diploma preferred
  • Demonstrated Executive Assistant experience – preferably 5+ years directly related experience
  • Advanced Microsoft Office skills – Word, PowerPoint, Excel, Outlook
  • Exceptional verbal and written communication skills
  • A self-motivated worker with the ability to work independently and as a key team player
  • Must have excellent interpersonal skills and able to liaise with clients and staff
  • Creative problem-solving skills
  • Proven ability to work with a confidential environment
  • Strong initiative, judgment, decision-making and analytical abilities
  • Flexibility to work varied hours and to take on additional duties as assigned

The Marketing Specialist is responsible for designing, supporting, executing and analyzing campaigns through various marketing channels including email marketing, social media, website design, in additional to traditional marketing channels, to support corporate branding and product awareness goals and sales growth initiatives.

The Role:

  1.  Manage company branding across all marketing initiatives to ensure brand consistency.
  2.  Manage and update company website for 250+ product listings via WordPress.
  3.  Create content for product features and news on company blog, apply best practices for Search Engine Optimization (SEO) and review & analyze Google Analytics.
  4.  Manage renewals of website hosting, domain names and SSL certificate.
  5.  Design and manage email marketing campaigns via MailChimp. Campaigns include monthly price lists, weekly/monthly product features and company news & events.
  6.  Test, review and analyze email campaigns to optimize subscriber engagement.
  7.  Post & share company news, blog posts, events, tradeshows, products, etc. on social media platforms such as LinkedIn, Twitter, Facebook, Instagram etc.
  8.  Design promotional marketing materials such as product brochures, sell sheets, flyers, posters, ads, business cards and additional stationary. Work with suppliers to ensure materials meet deadline.
  9.  Enroll and prepare marketing materials for industry tradeshows.
  10.  Design and source of company promotional giveaway items.
  11.  Prepare press releases for company blog and distribute to industry & local publications.

The Requirements:

  • At least 3 years of proven experience of delivering effective and innovative marketing programs and tools for B2B marketing including:
    •  Delivering successful digital campaigns for B2B products including email marketing programs.
    •  Developing and managing successful social media campaigns, with a solid understanding of social marketing.
    •  Website design and maintenance.
    •  Website metrics and digital analytics with the ability to generate, analyze and interpret data.
    •  Collateral materials design.
    •  Tradeshow displays and promotional campaigns.
    •  Corporate branding campaigns.
    •  Public relations activities including press releases.
  • Proficient with the following computer programs:
    •  WordPress and MailChimp (advanced level)
    •  Photoshop and Illustrator (intermediate level)
    •  MS Office Suite (intermediate level)
  • Education:
    •  Post secondary degree or diploma with emphasis on digital marketing and graphic design.
  • Other:
    • Must be able to work under constant deadline pressure and manage multiple projects at a time.
    •  Strong oral and written communication skills.
    •  Exceptional organizational skills.
    •  Creative thinker with an eye for detail.
  • Agricultural interest or background would be an asset.
